This policy explains what happens to the information you give this website. It is written to describe what the site actually does, rather than to cover every eventuality.

Who is responsible for your information

Derek Williams is the data controller for this website. That means he decides what is collected and what happens to it, and he is the person to contact about any of it.

The enquiry form

When you use a contact or enquiry form on this site, it collects three things: your name, your email address, and the message you write.

Your message is sent to Derek by email. It is not stored on this website — there is no copy in the site’s database, and no copy in the site’s backups. Once the email has been sent, the only place your enquiry exists is Derek’s mailbox.

This matters most on the counselling pages. If you write about why you are seeking counselling, you may be telling us something about your health. Information about health is treated as a special category under the UK GDPR and needs a higher standard of protection, which is why the counselling enquiry form asks you to agree before it will send anything.

Why we are allowed to handle it

Your consent, which you give by ticking the box on the enquiry form. For ordinary enquiries this is Article 6(1)(a) of the UK GDPR; where your message concerns your health it is also Article 9(2)(a), which requires explicit consent.

So that Derek can show what you agreed to, the email itself carries the exact wording you were shown, a version number for that wording, and the time you agreed. That record is part of the email rather than a separate file, so there is no second copy of your enquiry anywhere.

You do not have to consent. If you would rather not use the form, you can contact Derek directly using the details above.

How long it is kept

Enquiry emails are kept for six months, after which they are deleted.

If you go on to become a counselling client, any notes kept about your sessions are separate from this website and are covered by the information Derek gives you when you start working together. This policy only covers the website.

Asking for your enquiry to be deleted

Email Derek at info@sweetdwilliams.com and ask. Because your enquiry is an email and nothing else, deleting it means deleting that email, and he will confirm to you once he has.

There is deliberately no form on this page for making that request. A form would suggest this website holds your enquiry and can remove it, and it does not and cannot.

You can also ask what is held, ask for it to be corrected, ask for a copy, or withdraw your consent. Withdrawing consent does not undo anything already done with your information, but it stops anything further.

Other people who handle information for this site

Cloudflare provides the anti-spam check on the forms. It looks at signals from your browser to decide whether you are a person rather than a script. It does not see your message.

Brevo sends the email from this website, and GoDaddy hosts the mailbox it arrives in. Both handle your message in the ordinary course of delivering and storing it.

DigitalOcean hosts the website itself, on servers in London. Your message passes through it on the way to being emailed, but is not kept there.

Cookies

This site does not use advertising or analytics cookies. Cloudflare’s anti-spam check may set a cookie needed to perform that check. If you log in to the site as an administrator, WordPress sets cookies to keep you logged in.
